How to Preview Hundreds of PDFs in Grid View
Preview hundreds of PDFs as first-page thumbnails in the file manager on macOS, Windows or Linux, and what to use when thumbnails are not enough.
Finding one document among hundreds by opening them one at a time is the wrong approach, and the fix is not a PDF tool — it is getting your operating system or file manager to show you the first page of each file as a thumbnail.
macOS
Finder does this natively. Switch to Icon view (Cmd+1) or Gallery view (Cmd+4) and increase the icon size with the slider at the bottom of the window. PDF thumbnails render automatically. Cover Flow in older versions did the same.
Quick Look (select a file, press Space) previews a document without opening it, and arrow keys move through the folder — the fastest way to scan a directory by eye.
If thumbnails do not appear, check View → Show View Options → Show icon preview.
Windows
File Explorer shows PDF thumbnails in Large icons or Extra large icons view, provided a thumbnail handler is installed. Adobe Reader installs one; if you removed Adobe, thumbnails often stop working, which is the usual cause of "my PDFs all show a generic icon".
Fixes: install a reader that provides a handler (Adobe Reader, Foxit, PDF-XChange), or use SumatraPDF, which is lightweight and registers one. Also check Folder Options → View and make sure "Always show icons, never thumbnails" is unticked — that setting silently disables the whole thing.
Linux
Nautilus, Dolphin and Thunar all show PDF thumbnails given the right thumbnailer, usually provided by poppler-utils or evince-thumbnailer. Increase the icon size in view settings.
When thumbnails are not enough
A first page is often unhelpful — cover pages look alike, and scanned documents may open on a blank. Two better approaches:
Make them searchable and search the content. Spotlight and Windows Search index PDF text, so searching for a phrase beats looking at four hundred thumbnails. This only works if the files have a text layer, which scans do not until OCR adds one — the reason that step is worth doing at filing time.
Contact-sheet a single document. If you are looking for a page within one long PDF rather than across many files, most readers have a page-thumbnail sidebar, and Acrobat can print a contact sheet of all pages.
